Job Summary: In conjunction with and in the absence of the Division/Program Administrator, Departmental Finance Administrator and Vice Chair for Finance and Administration, coordinates the business management functions of grants and contracts and unrestricted funds for multiple divisions/programs in the Department of Psychiatry and Behavioral Sciences.

Payscale Salary Range: UNIV-Band 5: $33,494.00 - $47,734.00 - $61,975.00 (min - mid - max)

Job Duties:

  • 35% - With the assigned Division Administrator, the incumbent will distribute post award administration for all Division grant UDAKs to assigned divisions in the Department of Psychiatry. This includes reconciling all accounts to the system of record and alerting leadership to any issues. Work with the Division Administrator to distribute accounting and reporting of personnel and non personnel transactions, assist in monitoring spending, forecasting, and preparing financial/PI reports including no cost extensions, carryover requests, re-budgets, etc. Assist in ensuring all activities are in compliance with Federal, State, and Institutional policies and award specific regulations and requirements. - (Essential)

  • 30% - In conjunction with the assigned Division Administrator, this incumbent will reconcile all accounts to the system of record and analyze all accounting and financial reporting of MUCU, MUSCP, and MUSCF accounts to assigned divisions in the Department of Psychiatry. Incumbent will assist in mission based accounting for all revenue and expense streams. Assists in analytical financial reporting for Department leadership to make executive decisions. - (Essential)

  • 20% - Works closely with Department Leadership and Grant and Finance colleagues to ensure proactive submission of PEAR and PAR forms and ASWs, accurate accounting of research effort and adherence to divisional funds flow plan. Assists in quarterly effort reporting process ensuring compliance with Federal, State, Institutional, and agency specific guidelines. - (Essential)

  • 15% - Responsible for assigned divisions Timekeeping in KRONOS and sending out KRONOS reports. Performs administrative duties including, but not limited to: assisting in annual budget process and special reporting requested by the Chair of the Department. - (Essential)

Preferred Experience & Additional Skills:

Minimum Experience and Training Requirements: A high school diploma and three years professional experience in a related area such as accounting, auditing, finance or commercial lending. A bachelor's degree with multiple accounting courses may be substituted for two years of the required work experience.
